Voxipo is an AI receptionist that answers calls to your Voxipo number 24/7, takes the caller's name and treatment interest, and books a consultation into a connected Google Calendar, Outlook or GoHighLevel calendar during the call. When your carrier forwards an unanswered call to your Voxipo missed-call number, Voxipo declines it and places one callback from your own verified number, only between 8am and 9pm in the caller's local time. Pricing questions, post-treatment concerns and anything clinical are saved in the call record for your staff to answer.
A new client rarely phones a med spa with a booking in mind. They phone with a question about a treatment, a budget or a first visit, and the person who answers shapes whether they come in. When your team is mid-procedure, those calls go to voicemail, and a voicemail asking about filler is a weak start. The calls that need care are different. A client who calls about swelling after a visit needs your clinical staff, and the person answering the phone should not guess at a reply.

Answering service
What a med spa answering service does with each kind of call
An answering service for a med spa picks up the line, gathers what your team needs and passes the rest on. Voxipo does this with an AI agent that books consultations, saves intake details and leaves clinical and pricing decisions to your staff.
Voxipo opens each call with a short notice that the caller is speaking with an AI assistant and that the call may be recorded. The agent then speaks, takes the caller's name and asks what treatment they have in mind.
Live call transfer is not available yet. When a caller needs a provider, the agent saves the call with the transcript, summary and callback details, and your team returns the call.
Voxipo plans start at $49 a month, and the pricing page lists all four. The agent does not quote treatment prices unless your team has approved the exact wording.
How Med spa calls are handled
Call
What Voxipo does
What your team decides
Botox or filler consultation
Takes the caller's name, treatment interest and whether they have visited before, then books a standard time slot in your connected calendar.
Your provider decides who is a candidate and runs the consultation.
Laser or body contouring inquiry
Records the area of interest, the referral source and the best times, then books a consultation or saves a callback request.
Your staff explain suitability, session plans and the price.
Price shopper asking about unit or session cost
Shares only the pricing wording you approved, or says your team will explain pricing at a consultation, and offers to book one.
Your team sets and communicates every price and package.
Client with swelling or a reaction after a visit
Reads the wording your clinic approved, records what the caller reports and saves the call for your clinical staff. It gives no clinical advice and is not an emergency service. Your approved wording might say that urgent cases should call 911 or the clinic's urgent number; your clinic owns that wording.
Your clinical staff review the record and decide how and when to respond.
Question for the medical director or injector
Takes the question and callback details and saves them with the call.
The provider decides how to reply.
Call missed during a treatment
Places one callback from your verified number after your delay, only between 8am and 9pm in the caller's local time.
Your staff read the summary and finish any request the agent could not complete.
Book consultations for injectables, laser and body contouring
A prospective client calls about a treatment while your team is with other clients, and the call goes to voicemail.
The agent takes the name first, asks which treatment the caller is considering and offers open times from your calendar and books within your business hours and minimum notice. It books a standard time slot in your connected calendar and saves the treatment interest in the call record.
The booking carries the caller's name, and your provider sees the treatment interest in the call record before the visit.
02
Gather new-client intake before the first visit
Front desk staff ask the same opening questions on every first call and sometimes skip the referral source.
Write the intake into the agent's instructions, such as treatment interest, whether this is a first visit and how the caller heard about you. The agent asks these in a natural order and saves the answers with the call.
Your team can see which treatments new callers ask about and where they came from, and can review the summary before returning a call.
03
Handle price shoppers with approved wording
Callers open with how much a treatment costs, and a rushed answer from a team member either misquotes or loses the caller.
Give the agent only the pricing wording your team approved, for example a starting-from range you choose to publish, or a statement that pricing is covered at the consultation. Everything else about cost stays with staff.
Price callers hear a consistent answer and a clear next step, and your staff keep control of every number.
04
Save post-treatment concerns for clinical staff
A client phones after a visit worried about how they look or feel, and an automated reply could do harm.
The agent reads the wording your clinic approved for these calls, records what the caller reports in their own words and saves it for your clinical staff. It does not assess, reassure or advise.
Your clinical staff get the caller's account and callback details in the call record and decide the response.
A call in your world
A first-time caller asks about lip filler and price
A fictional med spa, Larkspur Aesthetics, has approved wording that pricing is covered at the consultation and lets the agent book consultations in a standard time slot. The transcript starts after the AI and recording notice.

Voxipo: Thanks for calling Larkspur Aesthetics. May I have your name, and what can I help you with today?
Caller: This is Renee. I want lip filler, and I would like to know what it costs before I come in.
Voxipo: Thank you, Renee. Our team explains pricing at the consultation, so I cannot give a figure on this call. I can book you a consultation. Is this your first visit with us?
Caller: Yes. A friend of mine came to you last month.
Voxipo: Noted, I will save that you were referred by a friend. I have Thursday at 4 in the afternoon or Friday at 10 in the morning. Which works for you?
Caller: Thursday at 4 is fine.
Voxipo: Done. I have booked Renee for a consultation on Thursday at 4 in the afternoon, and I have saved your interest in lip filler for the team.
Set up for your team
Make Voxipo part of your team.
01
Write your treatment list and approved wording
Put the treatments you want callers to ask about, your consultation policy and the exact pricing, aftercare and medical director wording into the agent's instructions or knowledge documents. Anything you leave out stays with your staff.
02
Connect a calendar and set availability
Connect Google Calendar, Microsoft Outlook or GoHighLevel and set your business hours and minimum notice. Phone bookings use a standard time slot, so decide whether a consultation block on that calendar suits your schedule.
03
Test in the browser, then forward your line
During the free trial, talk to the agent in the browser playground with a booking, a price question and a post-treatment concern. Once you choose a plan, set up your carrier's conditional forwarding so unanswered calls reach Voxipo, set the missed-call delay and place test calls before launch.
For med spas that lose first calls during treatments
This suits a small clinic where the same few people perform treatments and answer the phone. It works best when your consultation offer is clear and your team has agreed what the agent may say about price and aftercare. If you run several providers who each need their own schedule, plan to manage those parallel appointments by hand.
Clinical advice and adverse reactions stay with your staff
The agent does not assess symptoms, advise on aftercare or judge whether a reaction is serious. It uses only the wording your clinic approved, saves what the caller reports and leaves the response to your clinical staff and medical director.
Provider decisions and pricing stay with your team
The agent does not decide who is a candidate for a treatment, recommend a product or quote a price beyond approved wording. Those answers come from your providers at the consultation.
Scheduling is one appointment per slot
Voxipo books one appointment per time slot for the whole business, so multi-provider and multi-room scheduling stays manual. Mindbody, Vagaro, Square Appointments and Acuity are not integrations, so a booking system built on one of them does not sync with Voxipo.
The agent can only change the booking it made on that call
It can change or cancel the appointment it just booked, but it cannot look up an earlier booking. A client who calls back later to move a visit reaches your staff through the call record.
Good questions, clear answers
Voxipo for med spas: FAQs
Work out what fits before you forward a call.
Can the agent give a med spa client advice about swelling or a reaction?
No. It does not give clinical advice or judge how serious a reaction is. It reads the wording your clinic approved, records what the caller says and saves it for your clinical staff to review.
Will it quote treatment prices?
Only if your team approves the exact wording. Many med spas have the agent say that pricing is covered at the consultation and then book one. Voxipo plans start at $49 a month, and the pricing page lists all four.
Which booking tools does it not connect to?
Voxipo does not connect to Mindbody, Vagaro, Square Appointments or Acuity. It books into Google Calendar, Microsoft Outlook, Cal.com or GoHighLevel. On Google Calendar, Outlook and GoHighLevel a phone booking is a standard 30-minute slot, and Cal.com books the event type you choose at that event's length.
How long is a consultation booked on the phone?
On Google Calendar, Outlook and GoHighLevel, phone bookings use a standard 30-minute time slot. The agent does not have a service menu or per-treatment durations, so set up your consultation offer around that block.
Can it book with a specific injector or provider?
Voxipo allows one appointment per time slot for the whole business, not per provider or room. If clients ask for a particular provider, the agent saves that preference in the call record and your team arranges it.
What happens when a caller wants to cancel or move a visit?
The agent can change or cancel only the booking it made earlier on the same call. For an older appointment it saves the request and your staff handle it from the calendar.
Is Voxipo HIPAA compliant?
Voxipo makes no HIPAA or other compliance claim on this page. Decide with your own advisers what information your callers should share on a phone line, and keep the agent's questions to scheduling and intake. For a post-treatment call, the agent records only what the caller chooses to say and saves it for your clinical staff.
When does a missed call get a callback?
When your carrier forwards an unanswered call to your Voxipo missed-call number, Voxipo declines it and places one callback from your verified number after the delay you set. At busy times a callback can be delayed or missed. Callbacks only happen between 8am and 9pm in the caller's local time, and a call missed outside those hours gets no callback.
Write down your treatment list, the pricing wording you are happy to share and the questions your clinical staff must answer. Then talk to a Voxipo agent in the browser and hear how it handles a consultation request.
