Chiropractor answering service

Keep the phone covered while the doctor is mid-adjustment

An AI chiropractor answering service that takes new patient calls, books a standard time slot and saves insurance details for your front desk to check.

Talk about your business

A front desk that fits

The phone rings loudest when the table is full

Voxipo is an AI chiropractor answering service for small clinics. It answers your Voxipo number around the clock, asks the questions you write, such as where it hurts, how long and whether an injury, a car accident or a sport is behind it, and books a standard 30-minute slot in Google Calendar, Outlook or GoHighLevel. It records insurance details without checking coverage, and it gives no clinical advice.

Chiropractic calls cluster around the moments the team is busiest. Early mornings bring people whose neck locked up overnight, lunch hours bring office workers asking about a first visit, and the end of the day brings questions about whether a plan is accepted. A caller in pain rarely leaves a long message. A caller who reaches an agent can get a time offered on the spot, and a caller who reaches voicemail waits for a callback. The front desk also fields questions the agent should only record, such as which insurance a caller carries, or how a car accident claim works. Those need your staff, and they need the details written down before the callback.

Answering service

AI answering service for chiropractic clinics

Voxipo is an AI answering service for chiropractic clinics. It answers calls to your Voxipo number at any hour, takes the caller's name, records the pain area, the history and the insurance details they volunteer, books new patient and adjustment visits into Google Calendar, Outlook or GoHighLevel, and calls back people whose unanswered calls your carrier forwards to the missed-call number. Your doctor and front desk keep every clinical, billing and case decision.

Most first calls to a chiropractor come from a person who hurts and wants to know if they can be seen soon. The agent speaks first after the AI and recording notice, asks for the caller's name, then asks the questions you write, such as where the pain is, how long it has lasted and whether it followed an injury, a car accident or a workout. It writes down the answers in the caller's own words. It does not guess at causes, suggest stretches or say whether an adjustment will help.

Insurance is the other question that fills a chiropractic phone line. The agent cannot look up eligibility or verify coverage. It saves what the caller says, such as the carrier name, the plan and whether the visit relates to an auto accident, and your staff check it before the visit. For personal injury and auto accident callers, it records the date of the accident, whether a claim exists and the adjuster or attorney the caller names. It records these details and does not judge them.

When a caller wants an appointment, the agent books a standard time slot during the call in Google Calendar, Microsoft Outlook or GoHighLevel, within the business hours and minimum notice you set. On those calendars, phone bookings are a fixed 30 minutes, and Voxipo books one appointment per time slot for the whole clinic. A practice with several doctors or treatment rooms keeps that scheduling by hand, and a longer first visit is something your staff arrange afterward.

Your carrier can forward unanswered calls from your existing line to a Voxipo missed-call number. Voxipo declines the call and schedules the callback, then places one call back to the patient from your SMS-verified business number after the delay you set, 30 seconds by default. Callbacks go out only between 8am and 9pm in the caller's local time, so a call missed outside that window gets no callback, and a caller who hangs up before your carrier forwards the call never reaches Voxipo. At busy times a callback can be delayed or missed.

Practice-management software such as ChiroTouch is not connected to Voxipo, so the agent cannot see patient charts, balances or visit history. Live call transfer is not available yet. When a caller needs your doctor, the agent saves the call with the transcript, summary and callback details, and your team returns the call. Plans start at $49 a month, and the pricing page lists all four.

Where Voxipo helps

Calls Voxipo can take
off your list.

01

Book first adjustments while the doctor is treating

A new patient calls mid-morning, the doctor is with someone on the table and the front desk is on another line. The caller does not leave a message.

The agent takes the caller's name, asks where it hurts and for how long, asks whether an injury, an accident or a sport is behind it, and offers open times from your calendar. It books a standard 30-minute slot and saves the call record.

The booking carries the caller's name, the call record holds a few lines of history, and the doctor reads both before the visit. The front desk skips a round of phone tag.

02

Record insurance and accident details for staff to check

Callers ask whether you take their plan, or mention a car accident and an attorney, and the answer takes a conversation the front desk cannot start in the middle of a rush.

The agent saves the carrier and plan the caller states, and for accident cases the date, claim details and the contacts they name. It says plainly that it cannot verify coverage and that your staff will follow up.

Your staff verify benefits and review the case with the facts already written down, and the caller hears an honest answer on the call.

03

Handle adjustment reschedules made on the same call

A caller books a Thursday visit, then realizes on the same call that Thursday clashes with a meeting.

The agent changes or cancels the booking it just made, and offers another open time. Moves to a booking from an earlier call are saved as a request for your team, because the agent cannot look up older appointments.

Same-call corrections get settled before the caller hangs up, and older appointments stay with your front desk.

A call in your world

A tight-neck caller reaches Voxipo at lunchtime

A fictional clinic, Harbor Row Chiropractic, has one doctor who is mid-adjustment. The clinic's callers dial its Voxipo number directly, and that number is set to answer, so this is an answered call and not a callback. The agent speaks first after the AI and recording notice.

Voxipo: Thanks for calling Harbor Row Chiropractic. How can I help today?

Caller: Hi, I would like to see the doctor. My neck has been stiff for about two weeks.

Voxipo: I can help set that up. May I have your name first?

Caller: Dana Whitfield.

Voxipo: Thank you, Dana. Is the stiffness from an injury, a car accident or a sport, or did it start on its own?

Caller: It started after a long week at my desk. Do you take Blue Horizon insurance?

Voxipo: I cannot check coverage on this call. I will note Blue Horizon for the front desk to check. I have Friday at 9:30 open. Would that work?

Caller: Friday at 9:30 works.

Voxipo: You are booked for Friday at 9:30 under Dana Whitfield. I have saved Blue Horizon for the front desk to check. Thanks for calling.

Set up for your team

Make Voxipo part
of your team.

  1. 01

Write down what your front desk asks new patients

List the questions your team asks on a first call, such as the pain area, how long, the cause and how the caller found you. Add the insurance and accident details you want recorded, and your approved wording for symptoms you do not want the agent to discuss.

  2. 02

Connect the calendar the doctor uses

Link Google Calendar, Microsoft Outlook or GoHighLevel, set your business hours and minimum notice, and decide which visits callers may book. Phone bookings use a standard time slot, so place longer visits in the instructions as requests for staff.

  3. 03

Set up forwarding and test it

Choose one destination for calls your carrier forwards on busy or no answer. Forward to your Voxipo answering number and the agent answers live, or forward to the missed-call number and Voxipo declines the call and calls the patient back. One forwarding number cannot do both. During the free trial, test the agent in your browser with a new patient, an insurance question and an existing patient, and read the saved records. Connecting a phone number for real calls needs a paid plan.

For clinics where the phone competes with the table

Voxipo fits a solo doctor or a small team who lose first calls to voicemail during treatment hours. Start with new patient calls and insurance capture, read the first week of call records, and adjust the instructions. A clinic with several doctors, rooms or ChiroTouch-style scheduling needs will keep that planning with staff.

Walk through your setup with us
What Voxipo handles vs what stays with staff
No diagnosis or clinical adviceThe agent does not name conditions, suggest treatments or say what an adjustment will do. For calls that mention red-flag symptoms, it reads only the wording your clinic approved and saves the call. Voxipo is not an emergency triage service.
No insurance verification and no case judgmentThe agent cannot look up eligibility or verify coverage. It saves what the caller says, including personal injury and auto accident details, and your staff decide what applies.
One appointment per slot for the whole clinicVoxipo books one appointment per time slot, so multi-doctor and treatment room scheduling stays manual. Phone bookings are a fixed 30 minutes on Google Calendar, Outlook and GoHighLevel.
No practice-management integration and no live transferVoxipo does not connect to ChiroTouch or similar software, and it cannot read charts or look up an existing appointment. Live call transfer is not available yet, so the agent saves the call for your team to return.

Good questions, clear answers

Voxipo for
chiropractic clinics: FAQs

Work out what fits before you forward a call.

Can the agent tell a caller whether we accept their insurance?

It can repeat a statement you approve, such as which carriers you generally work with. It cannot look up eligibility or verify coverage for a specific plan. It saves what the caller says, and your front desk verifies benefits and calls back.

How does it handle someone calling after a car accident?

It records what the caller volunteers, such as the accident date, whether a claim exists and the attorney or adjuster they name, and it saves the call record. It does not judge fault or eligibility, and your clinic decides how the case is handled.

Will it book into ChiroTouch or our practice software?

No. Voxipo books into Google Calendar, Microsoft Outlook or GoHighLevel and does not connect to practice-management software such as ChiroTouch. Your front desk carries bookings across to your patient system if you use one.

Can an existing patient move their adjustment through the agent?

Only a booking the agent made on the same call. It cannot find an earlier appointment, so a later reschedule is saved as a request and your office changes it.

What happens when a caller describes severe or alarming symptoms?

The agent reads the wording your clinic approved for those calls and saves the record. It does not assess symptoms or claim to triage, and it is not an emergency service. Choose that wording carefully with your doctor.

We have three doctors. Can callers book with a specific one?

Voxipo books one appointment per time slot for the whole clinic, so it does not manage separate doctor or room calendars. Many multi-doctor clinics use it for intake and callbacks and keep the schedule by hand.

How long is a phone booking?

On Google Calendar, Microsoft Outlook and GoHighLevel, phone bookings use a fixed 30-minute slot. If a first visit takes longer, say so in the agent's instructions and let your staff extend the visit afterward.

Can it call back people whose calls we miss?

If your carrier forwards the unanswered call to your Voxipo missed-call number, Voxipo declines it and places one callback after the delay you set. Callbacks go out only between 8am and 9pm in the caller's local time, and a caller who hangs up before the carrier forwards never reaches Voxipo.

Is Voxipo HIPAA compliant?

Voxipo makes no HIPAA or other compliance claim on this page. Decide with your own advisers what information your callers should share on a phone line, and keep the agent's questions to scheduling and intake.
