Missed call recovery
Missed call recovery for HVAC, plumbing and electrical
Missed call recovery means reaching a customer whose call you missed before they book another company. Voxipo does it by calling them back from your own SMS-verified business number, after a delay you set, with an AI agent that takes the job details and can book the visit.
The cost
What a missed call costs a trades business
A missed call costs the job it would have booked, and, if it came from Google Local Services Ads, it can cost the lead fee as well.
In CallRail's 2025 survey of 1,000 US consumers, 78% said they have abandoned a business after an unanswered call, 21% said they call another business straight away, and 42% said they leave a voicemail (CallRail). CallRail's own platform data puts unanswered inbound calls at 28% on average (CallRail).
Since October 1, 2026, Google can charge for a missed Local Services Ads call made during your business hours once the caller stays on the line for more than 20 seconds (Google Local Services help). Our guide to Google LSA missed call charges covers the rule and how to check your account.
| Trade | Average Local Services Ads cost per lead | Lead fees on 5 missed calls a week, per month |
|---|---|---|
| HVAC | $51 | up to $1,105 |
| Plumbing | $57 | up to $1,235 |
| Electrical | $39 | up to $845 |
The job you lose comes on top of the lead fee. Put your own call volume, booking rate and job value into the missed call cost calculator.
Your options
Missed call text back, callbacks and other ways to recover a call
There are five common ways to follow up a missed call, and they differ in who does the work and what the caller gets back.
A missed call text back sends the caller a text and waits for a reply. A callback rings the caller after the delay you set, so they can talk through the job. Voxipo uses callbacks; it does not text the caller, and the standard agent setup has no texting tool.
| Method | What the caller gets | What it depends on | Where it falls short |
|---|---|---|---|
| Voicemail | A greeting and a beep. The caller decides whether to leave a message. | Someone listening to messages and calling back. | During business hours, Google charges for a Local Services Ads call that reaches voicemail once the caller stays more than 20 seconds. (Google Local Services help) |
| Missed call text back | A text from the business number asking how you can help. | A texting tool registered for business messaging, and a caller who reads and replies. | The details arrive by text, and someone on your team often still has to reply. Voxipo does not text the caller. |
| Calling back yourself | A call from you when you are free. | A free moment between jobs. | In CallRail's survey, 21% of consumers said they call another business straight away after an unanswered call. |
| Human answering service | A person who takes a message. Some plans can also patch an urgent call through to your on-call phone; check what yours includes. | Your carrier forwarding calls to the service, and a per-minute, per-call or monthly plan. | Routine messages still come back to you for a callback unless the service books jobs. |
| Voxipo callback | A call from your verified business number after the delay you set, 30 seconds by default. The agent asks your intake questions and can book. | Carrier forwarding on no answer or busy, a US or Canadian caller who shows their number, and a missed call inside the allowed calling hours (8am to 9pm in the caller's time, or narrower state rules). | A caller who hangs up before your carrier forwards the call never reaches Voxipo. Live transfer to a person is not available yet. |
How Voxipo does it
How a Voxipo missed-call callback works
Your carrier forwards calls nobody answers to Voxipo, and Voxipo calls the customer back from your verified business number.
- A customer calls your business number and nobody picks up.
- Your carrier's conditional call forwarding (on no answer or busy) sends the call to your Voxipo missed-call number.
- Voxipo declines the forwarded call and schedules a callback after the delay you set, 30 seconds by default.
- The callback shows your SMS-verified business number. It opens with a notice that the caller is speaking with an AI assistant and that the call may be recorded.
- The agent asks your intake questions, answers from the information you gave it, and can book a standard time slot in Google Calendar, Outlook or GoHighLevel.
- Voxipo saves the recording, transcript, summary and outcome so your team can follow up.
The missed-call callback setup guide walks through forwarding and testing. For the term itself, see what a missed-call callback is.
Limits
What a callback cannot recover
A callback only reaches callers your carrier forwards, during the hours callbacks are allowed, while Voxipo has capacity to place the call.
A caller who hangs up before your carrier's no-answer timer runs out never reaches Voxipo. Callbacks are outbound calls, so they follow the federal calling window of 8am to 9pm in the caller's local time plus any stricter state rules; a call missed outside those hours gets no callback and is not held for the morning. Voxipo does not call back a hidden or blocked number, or a caller outside the US and Canada.
Voxipo places one callback. If the caller does not pick up, it does not redial, and if call capacity stays full for 2 minutes after the delay, the callback is dropped. By default, a caller who rings twice within 10 minutes gets one callback.
Voxipo does not stop Google Local Services Ads charges. Live call transfer to a person is not available yet. Diagnosis, quotes, arrival times and whether to send someone tonight stay with your team.
Checklist
What to do about missed business calls
Measure how many calls you miss and when, then cover those hours with an answer or a callback.
- Pull a week of missed calls from your phone system or carrier, and note the time of day of each one.
- If you run Local Services Ads, check which missed calls Google charged and compare your ad schedule with the hours you can pick up.
- Set conditional call forwarding on no answer, with enough rings that someone in the office can still grab the phone.
- Decide who handles calls missed before 8am or after 9pm in the caller's time, since no callback goes out then.
- Review the call records each day and call back anything the agent saved for your team.
Questions
Missed call recovery: FAQs
What is missed call recovery?
Missed call recovery is getting back to a customer whose call you did not answer, before they hire someone else. It can be a voicemail you return, a text, a callback by your team, or an automated callback. Voxipo recovers missed calls by calling the customer back from your SMS-verified business number with an AI agent that takes the job details.
Does Voxipo send a missed call text back?
No. Voxipo calls the customer back by voice. It does not text the caller, and the standard agent setup has no texting tool. If you want a text as well, you need a separate texting tool.
How soon after a missed call does Voxipo call back?
After a delay you choose, from 0 to 3,600 seconds, 30 seconds by default. Voxipo places one callback; if the caller does not pick up, it does not redial. Callbacks follow the federal calling window of 8am to 9pm in the caller's local time plus any stricter state rules, so a call missed at 10pm in the caller's time gets no callback. If call capacity stays full for 2 minutes after the delay, the callback is dropped.
Will a callback stop Google from charging for the missed Local Services Ads call?
No. A missed call may already count as a charged lead before your carrier forwards it, and we have not tested how Google bills forwarded calls. A callback gives you a second chance at a lead you may have paid for.
Do I need a new phone number?
No. You keep your business number and set conditional call forwarding with your carrier, so calls nobody answers go to Voxipo. You verify your number by SMS during setup, and Voxipo shows that number when it calls back. You can also buy a new local number for the agent to answer directly.
What happens when the caller has an emergency, like a burst pipe or no heat?
The agent records what the caller reports and the callback number, and saves the recording, transcript and summary for your team. Your team decides whether to send someone and when. Live call transfer to a person is not available yet.
