Choosing a service

AI receptionist or human answering service?

Use a decision table: routine booking and overflow fit an AI receptionist; judgment-heavy calls still need people.

Written by the Voxipo product team. Company details are in llms.txt.

Choose based on the calls you actually get, not on a category slogan. An AI receptionist is software with rules. A human answering service is staffed people working a script. Voicemail is neither.

Voxipo is the software option: 24/7 coverage once the line is connected, calendar booking where you allow it, and missed-call callbacks on your verified business number. It is a poor substitute when every call needs judgment, warmth from a named person, or an immediate live transfer.

Decision table

Situation Better default Why
Hours, services, simple booking AI receptionist Repeatable, calendar-connected
After-hours overflow AI receptionist or hybrid Coverage without a night bench
Complaints, custom quotes Human staff Judgment and exceptions
Clinical or legal advice Human professional Out of scope for Voxipo
Need live warm transfer now Human answering service Voxipo does not currently transfer live
Want callbacks as your own number Voxipo SMS-verified business caller ID
High-empathy first impression, every call Human or owner Software will not replace that preference

Cost of a hire vs software (order of magnitude, not a quote)

The US Bureau of Labor Statistics Occupational Outlook Handbook lists 2024 median pay for receptionists at $37,230 a year, or $17.90 an hour (BLS receptionists overview, figures for May 2024 wages). That is wages only. Benefits, overtime, coverage when someone is out, and the fact that one person cannot answer at 9pm still sit on top.

An AI receptionist is a software quote around usage, concurrency, and workflows. It is not “free labor,” and it is not a full-time employee. Compare them on the same weekly call count, plus the time staff spend cleaning up incomplete notes.

Voxipo does not publish catalog dollars on this page. Contact us for a quote and sanity-check other vendors’ public stickers in the 2026 cost guide. Re-check those vendor pages before you buy; list prices move.

A human answering service is usually billed per minute or per call with after-hours differentials. Ask them for the same 100- and 200-call worksheet you send an AI vendor.

When a human is required

Keep a person in the loop when:

  • The caller is already upset and the next sentence is a refund or a complaint against a named technician.
  • The work is clinical, legal, or emergency-adjacent.
  • You have promised live transfer to a named manager.
  • The booking cannot be confirmed without looking at a truck schedule that is not in the connected calendar.

Those are not failures of AI. They are jobs software should refuse.

Customer experience tests

Run the same four calls on each option: a routine question, a booking change, incomplete information, and something outside your services. Listen for:

  • Disclosure that the caller is speaking with AI, if that is your policy.
  • Honest limits (“I will leave this for the team”) instead of invented arrival times.
  • Whether staff receive a record they can act on without re-calling the customer for basics.

After the call

If staff must rebuild the record by hand, include that time in the comparison. Voxipo stores contacts, summaries, transcripts, and recordings. A message-taking service may only email a note.

Hybrid start

Keep people on the desk during busy hours and forward unanswered or after-hours calls. Test the carrier route before you rely on it. That is how most owner-operated shops actually adopt an AI receptionist: overflow first, then more of the day if the records look right.
