AI appointment setter
AI appointment setter that books on the call
An AI appointment setter on Voxipo answers calls to your Voxipo number, asks what the caller needs, checks your connected calendar and books a time during the same call. It also calls back people you missed. It is built for people who call you.

What it is
What an AI appointment setter does on a phone call
An appointment setter turns a phone inquiry into a time on your calendar. A person in that role asks what the caller wants, finds an opening and writes it down. Voxipo does the same job with an AI voice agent that answers calls to your Voxipo number at any hour.
The call opens with a short notice that the caller is speaking with an AI assistant for your business and that the call may be recorded. After that the agent asks about the reason for the call, offers open times from your calendar and books the one the caller picks.
The agent follows the instructions you wrote for it. If you run a roofing company, it asks for the address and the type of job. If you run a dental office, it asks whether the caller is a new or existing patient. What it asks is yours to set, and what it books comes from the same instructions.
Step by step
What happens on a booking call
A typical booking call goes like this.
- 01
The agent asks what the caller needs
It collects the reason for the call and the details you told it to ask for, such as an address, a car model or a preferred day.
- 02
It takes the caller's name
The agent asks for a name before it books. A booking made without a name is saved as Guest, so the name comes first.
- 03
It checks your calendar
The agent reads open times from the connected Google Calendar, Outlook, Cal.com or GoHighLevel calendar and offers a few to the caller.
- 04
It books the time the caller picks
Your availability rules apply at the moment of booking, so a time outside your hours or inside your minimum notice is refused and the agent offers another.
- 05
It can change or cancel what it just booked
If the caller changes their mind before hanging up, the agent moves or cancels that booking. It does not touch bookings from earlier calls.
- 06
Voxipo saves the call record
The recording, transcript, summary and outcome are saved, and the caller is added to the lightweight CRM.
Calendars
Which calendars it books into and how long a slot is
Voxipo books into Google Calendar, Microsoft Outlook, Cal.com and GoHighLevel. You connect one calendar to the agent from the dashboard, and open times come from that calendar.
Phone bookings on Google Calendar, Outlook and GoHighLevel use a fixed 30-minute slot. The slot length setting in the workspace does not change this for calls. Cal.com works differently: it books the event type you chose when you connected it, whatever length that event type has.
Voxipo allows one appointment per time slot for the whole business. If you have three stylists or two treatment rooms, the agent still offers one booking per slot, so multi-person scheduling stays with your team.
The booking carries the caller's name. It leaves out any email the caller says out loud. A spoken email is kept in the transcript and summary, so your staff can read it there.
| Calendar | Slot length on a call | Notes |
|---|---|---|
| Google Calendar | Fixed 30 minutes | Sign in with Google; the primary calendar is used |
| Microsoft Outlook | Fixed 30 minutes | Sign in with Microsoft; the default calendar is used |
| GoHighLevel | Fixed 30 minutes | One location per connection; books into the calendar you pick |
| Cal.com | The event type you chose | Connected with an API token and one event type |
Who decides what
What the agent captures and what your staff decide
The agent records and books. It does not make judgment calls for your business. Anything that needs a professional decision stays with your team.
| The agent captures | Your staff decide | |
|---|---|---|
| Caller name and phone number | Whether the caller is a good fit for the job | |
| Reason for the call in the caller's words | Diagnosis | safety or urgency judgments |
| A preferred day and time | Quotes | fees and arrival times unless you approved the wording |
| A booking in an open slot inside your rules | Overbooked days | special exceptions and staff assignment |
| A call record with transcript and summary | Follow-up on anything the agent could not settle |
Missed calls
Callback booking for the calls you missed
Some callers reach your phone while you are busy and it rings out. When your carrier forwards that unanswered call to Voxipo, Voxipo declines it and schedules a callback from your own SMS-verified business number. A caller who hangs up before your carrier forwards the call never reaches Voxipo. You set the delay, from 0 to 3,600 seconds, and the default is 30.
On that callback the agent can offer the same booking path: ask what the caller wanted, check the calendar and book a time. The callback is a single dial. If the caller does not answer or the line is busy, nothing redials, and a callback can be delayed or dropped when capacity is full.
Callbacks run only from 8am to 9pm in the caller's local time. A call missed outside that window gets no callback. There is also no callback for hidden or anonymous caller ID, or for callers outside the US and Canada.
Missed-call recovery is covered on its own page, linked below.
Be clear on scope
Not a cold-calling appointment setter
Many tools sold as AI appointment setters dial lists of strangers and try to book demos. Voxipo is built around inbound calls and callbacks to people who already called you.
Voxipo also has outbound campaigns. They are voice only, and they are limited to contacts with a documented reason to be called, such as an inquiry in the last 90 days, a purchase in the last 18 months or a written agreement. Campaigns send no texts and no email sequences. Voxipo does not check the National Do Not Call Registry, so a bought list is not a fit.
If your need is a team of outbound dialers working cold lists, Voxipo is the wrong tool. If your need is to turn calls you already receive into booked appointments, it is the right shape.

Questions
Frequently asked questions
What is an AI appointment setter?
An AI appointment setter is a voice agent that talks to a caller, finds out what they need and books a time on a calendar. Voxipo's agent does this on inbound calls and on callbacks to people you missed.
Which calendars can the agent book into?
Google Calendar, Microsoft Outlook, Cal.com and GoHighLevel. On Google, Outlook and GoHighLevel a phone booking is a fixed 30-minute slot. Cal.com books the event type you chose.
Can the caller change or cancel their appointment later?
Only during the same call. The agent can move or cancel the booking it just made, but it cannot look up an older booking when someone phones back. Your team handles changes after the call ends.
Does it take the caller's email for the booking?
No. The booking carries the caller's name. If a caller says an email aloud, it appears in the transcript and summary and stays off the booking.
Can two people book the same time?
No. Voxipo allows one appointment per time slot for the whole business, so a booked slot is not offered again.
Is this a cold-calling appointment setter?
No. Voxipo is built for inbound calls and callbacks. Its outbound campaigns are voice only and limited to contacts with a documented reason to be called.
