After-hours answering service

After-hours answering service: what happens to calls after close

An after-hours answering service picks up calls once your office is closed and records what the caller needs. You can use voicemail, a human service or an AI agent. With Voxipo, a scheduled routing rule sends calls that reach your Voxipo number to an after-hours agent, and plans start at $49 a month.

The gap

What happens to a call after you close

At 6:05pm the phone rings and nobody answers. The caller hears a ring, a greeting and a beep, or just a ring. Some leave a message.

An after-hours answering service closes that gap with something that talks back and writes down the request. The decision is which kind of something: a recording, a person or software.

Options

Voicemail, a human service or an AI agent

Voicemail costs nothing extra, but the caller does all the work and you get a message of unknown quality. A human after-hours service talks to the caller and is the right choice when a person must make a judgment call. It is billed by the minute or the call and varies with how many calls arrive at night.

An AI agent answers at any hour on a monthly plan with an allowance of minutes and a per-minute rate beyond it, asks the questions you wrote, books a next-day slot if you want that, and leaves a transcript and summary for the morning.

How Voxipo does it

How Voxipo handles after-hours calls

Voxipo has two separate pieces, and it helps to keep them apart. The first is a scheduled routing rule. For calls that already reach a Voxipo number, the rule picks which agent answers: a daytime agent before 5pm, an after-hours agent after. The after-hours agent can have its own greeting and its own questions. Booking hours and minimum notice are set for the whole workspace, so both agents book under the same rules.

The second is the carrier. If you keep your existing number and use conditional forwarding for busy or no answer, the carrier has no time-of-day trigger. It forwards an unanswered call whenever it goes unanswered, day or night. You choose where those calls go. Forward them to your Voxipo answering number and the agent answers live, with the scheduled rule picking the day or after-hours agent. Forward them to the missed-call number and Voxipo declines the call and schedules a callback. One forwarding number cannot do both.

Missed-call callbacks have a limit that matters at night. Voxipo places one callback, only between 8am and 9pm in the caller's local time, and it can be delayed or missed when lines are busy. A caller who rings at 2am and reaches the missed-call number gets no callback, so your team should treat that call as a morning follow-up.

Set-up

Setting it up in six steps

The blog post [setting up after-hours call answering](/blog/after-hours-answering-service/) covers overflow versus 24/7 coverage in more detail.

  1. 01

    Decide your hours

Write down when the office is staffed, including lunch and weekends.

  2. 02

    Create two agents

Make a day agent and an after-hours agent. The second one can be shorter and focused on taking details.

  3. 03

    Add the schedule

Create a scheduled routing rule so the after-hours agent answers outside your set hours.

  4. 04

    Choose how calls arrive

Only calls to a Voxipo number reach the after-hours agent. Publish that number, or keep your own number and have your carrier forward busy and no-answer calls to your Voxipo answering number. If you forward to the missed-call number instead, those calls get a callback, and none is made for a call missed at 2am.

  5. 05

    Connect your calendar

If the agent should book next-day slots, link Google Calendar, Outlook, Cal.com or GoHighLevel and set minimum notice. Booking hours and minimum notice apply to the whole workspace.

  6. 06

    Test the after-hours agent

During the trial, talk to the agent in the browser. Once a paid plan connects your number, call it at night and at the weekend. Ask a routine question, book a slot, then ask something the agent has to leave to your team.

Morning routine

What your staff reviews in the morning

Open the recording when the summary is unclear. Track three piles: booked, needs a quote, and no action. The aim is a short queue your staff can clear before the first job.

  • The call list: who called, when, and the one-line summary for each.
  • Bookings made overnight, which sit in your calendar already.
  • Requests that need a quote or a decision, and messages from callers who did not want to book.
  • Calls from outside the US and Canada, which get no callback and need a manual follow-up. Nobody can call back a hidden number, so read those calls for any details the caller gave.
  • Anything a caller described as urgent, so a person reads it first.

Urgent wording

Emergency wording stays with the business

Voxipo is not an emergency service and cannot send a technician or hand the live call to your phone. The agent can say a sentence you approve, such as telling a caller to contact emergency services for a danger to life, or to shut off a water valve if it is safe. Write that sentence yourself and have the right person approve it.

If nobody is on call overnight, the greeting should not suggest that someone is. Callers trust a plain statement of what happens next.

Cost

What after-hours cover costs

Voxipo plans are Solo at $49 a month for 250 minutes, Starter at $99 for 600, Growth at $199 for 1,400 and Scale at $399 for 3,000. Each plan includes one local number, unlimited AI agents, callbacks and calendar booking. Plan minutes cover day and night calls. Your 14-day free trial starts when you create your first workspace, and a paid plan is needed to connect a phone number.

Questions

Frequently asked questions

What is an after-hours answering service?

It answers calls when your office is closed and records the caller's request. It can be voicemail, a human service or an AI agent.

Can Voxipo answer only after 5pm?

Not on its own. Voxipo answers the calls that reach a Voxipo number at any hour of the day. A scheduled routing rule has the after-hours agent answer outside your set hours, and carrier forwarding for busy or no answer has no time trigger.

Will a 2am caller get a callback?

No. Callbacks run only between 8am and 9pm in the caller's local time, so a call missed at 2am gets no callback and needs a follow-up from your team.

Can the agent handle an emergency?

It cannot dispatch anyone or hand the live call to a person. It can read emergency wording you approve and save the details for your team.

Does it cost extra at night?

Night calls use the same minute allowance as daytime calls. Plans start at $49 a month for 250 minutes.
