Missed-call callback for law firms
missed-call callback for law firms
Return the prospective client's call before they dial the next firm
When your desk is on another line or a lawyer is in court, Voxipo calls missed callers back from your firm's number and takes limited intake for staff.
The short answer
How missed-call callback works for law firms
Voxipo calls back the calls your carrier forwards to it when nobody at the firm picks up. The callback shows your verified office number. The agent takes the caller's details, broad matter type and the other party names your conflict check needs, and books a consultation if your instructions allow it. Advice, case merit and conflict decisions stay with your lawyers.
People looking for a lawyer often work down a list. If your line rings out while the paralegal and the attorney are both busy, the caller tries the next name. Voxipo calls that person back from your firm's number, after a delay you choose, and asks only what your intake form asks.
Call flow
What happens on the call
- 01
Your carrier forwards the unanswered call
You dial your carrier's conditional forwarding code so calls nobody answers before the no-answer timer go to a forwarding number Voxipo reserves for callbacks. Callers who hang up sooner never reach Voxipo.
- 02
Voxipo ends the forwarded call and queues a callback
Voxipo does not answer calls on that number. It ends each one and schedules a callback, so the number cannot also be an answering line.
- 03
The callback goes out after your delay
You set the delay from zero to 3,600 seconds, 30 by default. The call shows the office number you verified with a code during setup.
- 04
The caller hears the notice, then your greeting
The call opens with the AI and recording notice. Your callback instructions then have the agent name the firm and say it is returning a missed call.
- 05
The agent takes intake and staff review it
It asks your approved questions and books where you allow. Voxipo saves the recording, transcript and summary for the person who runs conflicts.
| Caller name | Taken before booking so the booking carries a real name. |
|---|---|
| Best callback number | The caller may have rung from a work phone. |
| Matter type from your list | Probate or a lease dispute, for example, so the right lawyer reviews it. |
| Names of other parties | Your staff need these to run the conflict check. The agent records them and makes no judgment. |
| Any deadline the caller mentions | Recorded in the caller's words, such as a date on a court letter. Your staff decide what it means. |
| No advice, merit assessment or conflict decisions | The agent records the question. Your lawyers judge the matter and your staff clear conflicts. |
|---|---|
| Urgency stays with your team | The agent notes a filing date in the caller's words. It does not calculate deadlines, rank calls or connect the caller to a lawyer; live call transfer is not available yet. |
| Intake limited to what your form asks | Your instructions set the questions. The agent asks callers to keep facts general and makes no promise that the call is confidential or privileged. |
| One booking per slot, changed only on the same call | Voxipo holds one appointment per time slot for the whole firm, and Google, Outlook and GoHighLevel phone bookings take 30 minutes. If the caller phones later to move it, your staff move it. |
Example call
A probate inquiry arrives while nobody can pick up
At 4:50pm on a Wednesday, nobody at Ashgrove Estate Law, a two-lawyer practice, can pick up and the call rings out. After the firm's 20-second delay Voxipo calls back. The firm allows booking a 30-minute introductory call on Google Calendar and checks conflicts before it, and its approved wording covers conflicts and representation. The caller has heard the AI and recording notice.

Voxipo: Hello, this is the virtual assistant for Ashgrove Estate Law, returning a call we missed. How can I help?
Caller: My father passed in August and I think my brother has the wrong will.
Voxipo: I'm sorry about your father. The firm handles probate disputes. Please keep the details general for now. May I have your name?
Caller: Teresa Lindqvist. My brother is Martin Lindqvist. Do I have a case?
Voxipo: Thank you, Teresa. I can't give legal advice or assess the matter. I've noted Martin's name for the firm's conflict check. Thursday at 11am or Friday at 2pm is open for an introductory call.
Caller: Thursday at eleven. I also got a court letter that mentions this Friday.
Voxipo: Booked for Thursday at 11am, and I've noted the court letter for the team. The firm checks conflicts first and will contact you if the call cannot go ahead. Booking does not mean the firm represents you.
Caller: Could we do Friday at two instead?
Voxipo: I've moved your call to Friday at 2pm and released Thursday.
Questions
Missed-call callback for law firms: FAQs
Can one Voxipo number answer calls and also trigger callbacks?
No. A forwarding number set up for callbacks only receives forwarded calls, which Voxipo ends and returns. For live answering, give the agent a separate receptionist number and forward there instead.
How soon does the callback reach the caller?
After the delay you set, 30 seconds by default. When every line on your plan is busy or Voxipo is at capacity, a callback can be late or dropped, so review call records in busy weeks.
Does the agent ask for consent to record?
Each call opens with the AI and recording notice, but the agent asks for no spoken yes and has no state rules. Check your state's recording rules.
Does Voxipo connect to our practice management software?
Voxipo does not connect to Clio. Consultations book into Google Calendar, Microsoft Outlook, Cal.com or GoHighLevel, and staff copy intake details from the call record.
