After-hours answering for clinics

after-hours answering for clinics

Your clinic closes at six, and patients keep calling until ten

Voxipo answers your clinic line after closing, takes appointment requests and books approved visits. Medical questions and emergencies stay with your staff.

Talk about your calls

The short answer

How after-hours answering works for clinics

Voxipo answers the clinic calls your carrier forwards when nobody picks up, using the greeting and knowledge documents your team writes. It takes appointment requests and can book the visits your instructions allow into a connected calendar. Medical advice, triage, patient records and insurance checks stay outside the agent's role, and the agent reads your approved instruction to hang up and call 911 when its instructions call for it.

Patients of a small outpatient or physiotherapy clinic often call once their own workday ends. One has a referral letter and wants a first assessment. Another asks about Saturday hours. A third starts describing a new pain. With reception gone, those calls reach voicemail. Voxipo answers after hours with the wording your clinic approves and leaves reception a call record to work from.

Call flow

What happens on the call

  1. 01

    Your carrier forwards unanswered calls

Conditional call forwarding on your clinic number sends unanswered calls to Voxipo, and your number stays the same.

  2. 02

A scheduled routing rule picks the evening agent

Scheduled routing rules choose which agent answers calls that reach Voxipo, so your after-hours agent can take evenings and weekends.

  3. 03

The caller hears the notice, then your greeting

A fixed notice says the caller is speaking with an AI assistant and the call may be recorded. The agent then says the clinic is closed and offers to book or take a request.

  4. 04

The agent books or records a request

For visits your instructions allow, the agent takes the caller's name, checks the calendar and books once the caller confirms. Referral and insurance questions go into the record.

  5. 05

    Reception opens the call records

Staff read each summary the next morning, confirm requests and return the calls that need a clinic team member.

Details Voxipo collects
Patient nameTaken before booking so the booking carries a real name. An email the caller gives is saved in the call record for reception.
Callback numberVoxipo dedupes contacts by phone, so a patient who calls twice shows as one contact.
Referral mentionedThe agent notes whether the caller says they hold one. Staff decide whether it meets clinic requirements.
Insurance or coverage questionRecorded in the caller's words, because the agent cannot look up plans or eligibility.
Preferred practitioner and timesReception checks that practitioner's schedule, since the agent books against one clinic-wide calendar.
What stays with your team
No advice, diagnosis or triageThe agent does not interpret symptoms, rank callers by urgency or comment on treatment. It reads your approved 911 wording and records questions for staff.
No patient records or insurance lookupsVoxipo does not connect to your EMR or practice management system. It repeats only the administrative information in your knowledge documents.
No live transfer to an on-call clinicianLive call transfer is not available yet. The call is saved with the transcript and callback number for staff.
Booking limits that matter for clinicsVoxipo books one appointment per time slot for the whole clinic, so two practitioners cannot share a slot. On Google Calendar, Outlook and GoHighLevel, phone bookings use a fixed 30-minute slot. Longer assessments stay a request.

Example call

A first physiotherapy visit booked on a weeknight

The fictional Brookfield Ridge Physiotherapy closes at 6pm. At 8:50pm a call rings out, forwards to Voxipo, and the caller hears the AI and recording notice. The clinic lets the agent book 30-minute new-patient consults on Google Calendar and approved its 911 line.

Voxipo: Thanks for calling Brookfield Ridge Physiotherapy. The clinic is closed. I can book a new-patient consult or take a message for reception. How can I help?

Caller: My doctor gave me a referral for my shoulder. Can I get in this week?

Voxipo: I can look at consult times. May I have your full name for the booking?

Caller: Tamsin Okonjo. Thursday after four would be best.

Voxipo: Thursday at 4:30pm is open for a 30-minute consult. Shall I book it, Tamsin?

Caller: Could it be Friday morning instead? And will my plan cover it?

Voxipo: Friday at 9am is open. I can't check insurance, so I've noted your coverage question and referral. Shall I book Friday at 9am?

Caller: Yes, please. The shoulder has been clicking more today. Should I stop my exercises?

Voxipo: Booked for Friday at 9am. I can't give medical advice, so I've recorded your question for the clinical team. If you have a medical emergency, please hang up and call 911.

Questions

After-hours answering for clinics: FAQs

Can a patient call back tomorrow to move a booking made tonight?

Not through the agent. It can change or cancel the booking it made earlier in the same call. On a later call it cannot find that appointment, so reception moves it from the calendar.

What does the agent say if a caller has chest pain?

It reads the emergency sentence your clinic approved, telling the caller to hang up and call 911. Test that wording in the browser playground before going live.

Can the after-hours agent differ from our daytime agent?

Yes. A scheduled routing rule picks which agent answers at a given time, and each agent has its own greeting, prompts and knowledge documents. Routing rules choose the agent and nothing more.

Can Voxipo call back patients whose calls we missed?

Yes, with a separate Voxipo number set up for missed-call callbacks, which calls back from your verified clinic number after the delay you set. Callbacks only go out between 8am and 9pm in the caller's time and can be dropped at capacity, so reception should still review missed calls.
