After-hours answering for auto repair shops

after-hours answering for auto repair shops

Evening and weekend calls to your garage reach an agent that takes the details

Voxipo answers garage calls after closing, records breakdowns and tow requests for your staff, and books next-day drop-offs your instructions allow.

Talk about your calls

The short answer

How after-hours answering works for auto repair shops

Your carrier's conditional forwarding passes unanswered calls from the shop line to Voxipo, and a scheduled routing rule can hand evening calls to an after-hours agent. The agent records the vehicle and its location, saves tow requests for staff, and books the drop-offs your instructions allow. It makes no diagnosis, gives no estimates and does not look up repair status.

Cars break down on the drive home and on Saturday errands, long after the bay doors close. The driver calls, hears it ring out, and tries the next garage. Voxipo answers with an after-hours agent you set up and leaves the morning decisions to your advisers.

Call flow

What happens on the call

  1. 01

The shop line rings out after closing

Conditional forwarding on no answer, set with your carrier, passes the call to Voxipo once the carrier's ring timer runs out. You can also list a Voxipo number for evenings.

  2. 02

A schedule rule picks your after-hours agent

Scheduled routing rules choose which Voxipo agent answers by time and day, each with its own greeting and questions.

  3. 03

The agent opens with your closed-shop wording

After the AI and recording notice, the agent says the shop is closed and asks what the driver needs.

  4. 04

It asks the questions you set for each call

Your instructions give a stranded driver and a next-day service request different questions.

  5. 05

It books or saves the request

For services you allow, the agent takes the driver's name and books a drop-off into a connected calendar. Tow requests go into the call record for an adviser.

  6. 06

Advisers open the call records in the morning

The summary, transcript and recording show who was stranded overnight and whose car arrives first.

Details Voxipo collects
Where the vehicle is nowA street, parking lot or highway exit, as the driver gives it. Staff need it before arranging any tow.
Whether the car moves, in the driver's wordsThe agent records "it won't start" or "I drove it home" without judging what that means.
Tow or roadside requestFlags the call for an adviser. The agent saves the request and promises no truck.
Year, make, model and rough mileageLets the adviser confirm the shop works on the vehicle.
Name and callback numberThe agent takes the name before booking so the booking carries a real name.
What stays with your team
Tow and roadside requests stay with staffThe agent saves the request and the vehicle's location. It does not dispatch a truck or give an arrival time. Live call transfer is not available yet.
No diagnosis, estimates or repair statusThe agent records symptoms without an opinion on the cause or on driving the car. It quotes no repair prices and cannot check whether a car is ready.
One drop-off per slot, standard phone slotsVoxipo holds one booking per time slot for the whole shop. On Google Calendar, Outlook and GoHighLevel each phone booking takes a 30-minute slot. Staff add any extra early drop-offs by hand.
Changes only on the same callThe agent can move or cancel the booking it just made while the driver is on the line. Later changes go through an adviser.

Voxipo: Thanks for calling Ridgeback Motor Works. The shop is closed until Monday at 7:30am, and I can take your details for the team. What's happening with your vehicle?

Caller: My minivan died in the grocery lot on Fenwick Road. It cranks but won't start. Can you send a tow truck?

Voxipo: I can't arrange a tow, but I'll save your tow request for an adviser. What is the year, make and model?

Caller: 2015 Toyota Sienna, about 140,000 miles. Is it the battery?

Voxipo: I can't say what's wrong, so I've noted that it cranks but doesn't start. If you get it to the shop, I can book a no-start inspection Monday at 10am or 11:30am.

Caller: 10am. If my brother tows it over tonight, where do the keys go?

Voxipo: The shop's instructions say keys go in the locked drop box beside the office door, and an adviser confirms tow-ins. May I have your name, and is this the best number for the team?

Caller: Leo Marchetti, and yes.

Voxipo: Thanks, Leo. You're booked for a no-start inspection Monday at 10am, and your tow request and the van's location are saved for an adviser.

Questions

After-hours answering for auto repair shops: FAQs

How do after-hours calls reach Voxipo if forwarding has no closing-time setting?

Forwarding on no answer covers it, because nobody picks up once the shop is closed. A driver who hangs up before the carrier's ring timer ends never reaches Voxipo. A scheduled routing rule then picks your weekend agent.

Can the agent tell a driver whether to keep driving?

No. It records what the driver describes and reads any safety wording you approve. Judging the vehicle belongs to your technicians.

Should after-hours calls go to a callback number instead?

Not for calls after 9pm or before 8am. A missed-call callback number declines every forwarded call and calls back later, and callbacks only go out between 8am and 9pm in the caller's time, so a call missed late at night gets no callback. Forward to a Voxipo number set to answer calls.

Can a driver book at 11pm for the next morning?

Yes, if the time fits the availability rules and minimum notice you set. Staff still confirm parts, bay time and any quote.
