Appointment booking for salons
Phone appointment booking for salons
Book the standard services by phone while stylists keep working
Voxipo books eligible salon services into a compatible connected calendar during the call, using your service durations and availability rules.
The short answer
How appointment booking works for salons
Voxipo answers salon calls and books eligible services into a connected calendar, such as Google Calendar, Microsoft Outlook, Cal.com or Calendly, while the caller is on the line. It uses the service names, durations and availability you configure, reads back the booking, and saves the call summary and transcript. Services that need a consultation, uncertain durations, and policy exceptions are collected for staff rather than booked. It books one appointment per time slot for the whole salon, and it does not take deposits.
Most salon calls are booking calls, and they arrive while everyone is mid-cut or mid-color. Putting a client on hold for a booking means either rushing the client in the chair or losing the caller. Voxipo takes the booking conversation for the services you mark as bookable, checks your connected calendar during the call, and books an open slot that fits the service length. Anything that needs a stylist's judgment, such as a color correction, follows your consultation process instead.
Call flow
What happens on the call
- 01
The caller asks for a service
The agent matches the request to your service menu and asks a clarifying question when the caller is unsure which service they need.
- 02
It checks whether the service is bookable by phone
Standard services you mark as bookable continue to booking. Consultation-only work is collected as a request for a stylist to call back.
- 03
It checks availability in your connected calendar
The agent looks for open times that fit the configured duration and your business hours, and offers the caller a few options.
- 04
It books and reads back the appointment
The appointment is created in the calendar, and the caller hears the service, day, time and any policy you ask it to mention, such as cancellation notice.
- 05
The salon sees the booking and the call record
The appointment appears in the connected calendar and the call record keeps the summary and transcript for the front desk.
| Client name and phone number | Identifies the booking and gives staff a number for reminders or changes. |
|---|---|
| Service requested | Matched to your menu so the right duration is used. |
| Preferred stylist | Saved in the booking notes for the front desk. Voxipo books one calendar for the salon, so it does not pick a stylist's column itself. |
| Preferred day and time | Narrows the options the agent offers from your calendar. |
| Notes for the stylist | Anything the client wants the stylist to know, recorded in their words. |
| Consultation work stays with stylists | Color changes, corrections and treatments that need an assessment are not booked by the agent. It collects the request for a stylist. |
|---|---|
| One booking per time slot | Voxipo books one appointment per time slot for the whole salon, not per stylist. Salons that run several chairs at once should keep multi-stylist scheduling with the front desk for now. |
| No promises about results | The agent does not promise how a color or treatment will turn out, or quote a duration you have not approved. |

Illustrative conversation. Your call flow is configured for your business.Read full transcript
Caller: Hi, I'd like to book a cut and blow-dry for next week.
Voxipo: Happy to help. A cut and blow-dry takes about an hour. Which days work for you next week?
Caller: Tuesday or Wednesday, after work if possible.
Voxipo: I have Tuesday at 5:30pm or Wednesday at 6pm. Which would you like?
Caller: Tuesday at 5:30. And could I also ask about going blonde at some point?
Voxipo: You're booked for a cut and blow-dry on Tuesday at 5:30pm. A big color change starts with a consultation, so I'll ask a stylist to call you about that. Can I take your name?
Caller: It's Dana Kim.
Voxipo: Thanks, Dana. You'll get a call about the color consultation, and we ask for 24 hours' notice if you need to change Tuesday's booking.
Questions
Appointment booking for salons: FAQs
Which calendars can Voxipo book into?
Google Calendar, Microsoft Outlook, Cal.com, Calendly and Jobber. Voxipo also applies your own availability rules, such as business hours and minimum notice, before it books.
Can clients choose a specific stylist?
The agent notes the preferred stylist for the front desk. It books one appointment per time slot for the salon as a whole, so it does not manage separate stylist schedules.
What happens with a service that needs a consultation?
The agent explains that the service starts with a consultation and saves a callback request for a stylist, instead of booking it.
Can Voxipo take a deposit when it books?
No. The booking flow creates the appointment and saves the call record. Deposits and payments stay with your salon's existing process.
