Overflow call answering for property management

overflow call answering for property management

Voxipo picks up resident and renter calls while your leasing office is tied up

When your leasing office is busy or out showing units, forwarded calls reach Voxipo, which takes maintenance requests and renter inquiries for your staff.

The short answer

How overflow call answering works for property management

Your carrier's conditional call forwarding sends a call to Voxipo when the office line is busy or rings past the carrier's no-answer timer. The agent takes maintenance requests with the building and unit, takes rental inquiries, and can book viewings into a connected calendar when your instructions allow it. For flooding, gas or fire, it reads the emergency wording your property approved and does not judge how serious the problem is.

A small property office often runs one line for everything. The leasing agent is showing a vacant unit, the coordinator is on with an owner, and the next caller has a leaking sink. Your staff keep the first chance at each call, and Voxipo answers the ones they cannot reach.

Call flow

What happens on the call

  1. 01

    Your office answers first

Callers dial the number on their lease or the listing, and your staff pick up whenever someone is free.

  2. 02

Busy or unanswered calls forward to Voxipo

You set busy and no-answer forwarding with your carrier, which sets the no-answer timer. Point it at a Voxipo number set to answer calls, because a callback number phones the caller back later instead.

  3. 03

The agent asks who is calling

Its first question separates residents, prospective renters, owners and vendors, since each group needs different questions.

  4. 04

Maintenance callers hear your emergency wording

Your instructions tell the agent to read your approved wording for flooding, gas and fire to each maintenance caller, so it never sorts reports by urgency.

  5. 05

Staff work from the call record

Your office reads the summary and transcript, enters the work order and decides who calls back.

Details Voxipo collects
Caller typeResident, renter, owner or vendor, so the right teammate takes the follow-up.
Building address and unit numberMaintenance staff need the exact unit before anyone plans a visit.
The problem in the resident's wordsRecorded as described, such as a dripping faucet, with the assessment left to maintenance staff.
Permission to enter and petsTells your technician whether they may enter when nobody is home.
Listing address and move-in dateShows your leasing agent which vacancy a renter wants and when.
What stays with your team
Emergencies follow your approved wordingVoxipo reads your approved wording for flooding, gas and fire and does not decide whether a leak or smell is an emergency. Live call transfer is not available yet.
A saved request is not a work orderVoxipo does not connect to AppFolio or Buildium. Your staff enter the request, assign a technician and set any visit time.
Leasing and account decisions stay with staffThe agent does not approve applications, discuss balances or interpret leases. It saves those questions for your team.
Viewings follow the v1 booking limitsPhone bookings use a standard time slot, and Voxipo holds one appointment per slot across the business, so two leasing staff showing different units at 10am still need one viewing booked by hand. Renters can change a viewing only on the booking call.

Voxipo: Thanks for calling Larkspur Court Residences. The office team is helping other people right now. Are you a resident, looking to rent, or an owner or vendor?

Caller: I live here. The kitchen sink in my unit started leaking underneath this morning.

Voxipo: I can take a maintenance request. Our property asks me to share this with every resident. If water is flooding your unit, or you smell gas or see fire, leave the area, call 911, then call the emergency maintenance number on your lease. What is your building and unit?

Caller: It's just a drip into the cabinet, I put a bowl under it. Building C, unit 214.

Voxipo: Noted, a drip under the kitchen sink in building C, unit 214. May maintenance enter if nobody is home, and are there pets in the unit?

Caller: Yes, they can come in. We have a cat. I'm Dana Okafor, and this cell is the best number.

Voxipo: Thanks, Dana. I've saved your request with entry permission and the note about your cat. The office team will review it and contact you about next steps.

Questions

Overflow call answering for property management: FAQs

Will Voxipo answer calls my office could have picked up?

Not with overflow forwarding. Your carrier sends a call to Voxipo only when the line is busy or nobody answers before the no-answer timer runs out.

Can Voxipo create work orders in my property management software?

No. Voxipo does not connect to AppFolio or Buildium. Your staff enter the work order from the call record.

Can a prospective renter book a viewing on an overflow call?

Yes, when your instructions allow it and Google Calendar, Microsoft Outlook or Cal.com is connected. The agent takes the renter's name first. Calendly is coming soon for phone booking.

What happens on the 1st of the month when many residents call at once?

Voxipo answers calls up to your plan's concurrent call limit and its own launch capacity. A forwarded call no longer reaches your carrier voicemail, so turn on "When every line in this workspace is busy, call the customer back" for your Voxipo number. Without it, extra callers hear a busy signal.
